1. Booking confirmation

Send immediately after a booking comes in — even if your booking link already sends an automatic one, a personal follow-up for new clients builds trust.

Adapt it: For a first-time client, add one line on what to expect or bring — e.g. "come with clean, polish-free nails if you can" or "wear something you can move in for the session."

2. 24-hour reminder

Cuts down on no-shows more than almost anything else. Send the day before.

3. Day-of reminder

A short nudge a couple of hours before, mainly useful for services with real prep time or a deposit at stake.

4. Replying to a reschedule request

You want to say yes without it turning into a new round of back-and-forth.

Why this works: pointing back to your booking link — rather than offering times yourself — keeps you out of the manual back-and-forth a reschedule usually turns into.

5. Late cancellation

Firm but not cold. State the policy once, clearly, without over-explaining it.

Adapt it: If you don't take deposits yet, write a short cancellation policy before you need it — a clear policy stated once, up front, makes messages like this much easier to send.

6. No-show follow-up

Send same day or next day. The goal is to keep the door open without letting it become the norm.

For when a cancellation frees up time and you want to fill it fast.

8. First-time client info request

Useful before any service where you need context before the appointment — allergies, health considerations, reference photos.

Ahead of your first [Service] on [Date], could you send over [what you need — e.g. any allergies, reference photos, relevant health info]? Helps me prep properly for your appointment.

Warmer

Adapt it: massage therapists and PTs often need this before a first session (injuries, medical conditions); photographers might ask for mood-board references instead; tutors might ask what topic or exam board to prepare around.

9. Deposit request

For bookings taken outside your usual link flow — over the phone, in person, or for a custom service.

A few things that make these actually work

  • Say the policy once, up front — not just when it's inconvenient. A no-show message lands much better when the client already knew the policy existed, rather than hearing about it for the first time after missing an appointment.
  • Keep reminders short. A confirmation can be a few lines; a reminder should be closer to one.
  • Match the tone to your brand, not the template. These are starting points — a tattoo studio and a children's tutoring service shouldn't sound the same.

FAQ

Can I use these for WhatsApp, Instagram DMs and SMS?
Yes — they're written to work across any of them. For SMS, keep to the shorter "plain" versions since character limits and cost matter more there.

How do I stop no-shows without sounding harsh?
State your cancellation and no-show policy clearly before it's needed — ideally on your booking page — so any follow-up message is just confirming something the client already agreed to, not a surprise.

Should I automate reminders instead of sending them manually?
